Before you fill out any quote details, Section 0 lets you search for the client across all connected data sources at once. This step ensures you link the quote to an existing client record when one already exists, or create a fresh Client ID when the client is new. Completing this lookup correctly prevents duplicate records and keeps your quote history accurate.

Data sources

Section 0 queries three systems in parallel. Each result card displays a badge in the top-right corner so you can see exactly where the match came from.

Use any combination of the three search fields — results update as you type.

What each result card shows

Every card displays the information available from its source:
  • Client ID — present only for Warehouse matches
  • CRM organization name — the account name from VTiger
  • Client name — the contact’s full name
  • Primary email — the main email address on record
  • Related emails — additional emails linked to this client
  • Last quote date — the most recent quote date in the Warehouse

How to look up a client

Open a new quote

Navigate to the New Quote page. Section 0 — Client Lookup appears at the top of the form.

Enter a search term

Type the client’s email address, Client ID, or organization name into the relevant field. Results from all three sources appear automatically as you type.

Review the result cards

Each matching record appears as a card with a colored source badge. Check the client name, primary email, and last quote date to confirm you have the right person.

Choose an action

Select the card that matches your client, then click one of the two action buttons:
  • Sử dụng Client ID trên — Maps the selected card’s information into Section 1, including the existing Client ID. Use this when the client already exists in the system.
  • Tạo Client ID mới — Creates a new Client ID and maps the email you typed into Section 1. Use this when the client is genuinely new to the tool.
Clicking either action button populates Section 1 automatically. You do not need to retype the client’s name or email.

Email quote count badge in Section 1

After Section 0 populates the client email field in Section 1, a small badge appears next to the Client Email field. This badge shows how many times that email address has been used in a quote inside the Data Warehouse. It counts only quotes created through this tool — CRM and Jira records are not included in this count.
If the badge shows a count greater than zero, review the client’s previous quotes before proceeding. This helps you understand the client’s history and quote any renewals accurately.

Frequently asked questions

You may see more than one card for the same person — for example, a blue Warehouse card and a yellow CRM card. Select the Warehouse card and click Sử dụng Client ID trên to reuse the existing Client ID and keep the quote history consistent.
If all three sources return nothing, the client is new to all systems. Click Tạo Client ID mới to generate a fresh Client ID using the email address you entered.
Yes. Enter the company name in the Organization name field. This searches VTiger CRM accounts and Jira organizations. The Data Warehouse is not searched by organization name, so you may not see a Warehouse badge in the results.
